IT PROCUREMENT GUIDE
Look beyond the device specification.
Two quotations with the same specification can differ greatly in what you actually receive. Compare the whole package.
Compatibility
- Check that new equipment works with your existing network, operating systems, applications and peripherals.
Warranty and support
- Type: onsite, depot or return-to-vendor, and who raises the claim.
- Duration: per component where it differs, and how replacements are handled.
Software and licensing
- Confirm which operating system, office and security software is included, and the licence type.
- Ask for licence documentation and invoices for your records.
Deployment
- Who configures, installs and tests the equipment, and what does acceptance look like?
- Will assets be tagged and serial numbers recorded in your asset register?
Lifecycle cost
- Compare power use, expected service life, spares and the refresh cycle alongside purchase price.
Supply and paperwork
- Know the source of the products and keep invoices and warranty details together.
- Make delivery, installation and payment terms explicit.
Questions to ask before you decide
- What is included besides the hardware: configuration, installation, licences?
- How is warranty claimed, and who is responsible?
- Which items are optional or charged separately?
- What is the delivery and acceptance process?
