BACKUP & RECOVERY GUIDE

Could your business restore what matters?

Having backups is not the same as being able to recover. Start with what the business cannot afford to lose or be without.

Decide what matters most

  • List the systems and data the business needs to operate, in priority order.
  • For each, decide how much data loss is tolerable (recovery point) and how long you can be without it (recovery time).

Follow the 3-2-1 idea

  • Keep at least three copies of important data.
  • Store them on at least two different types of media or platforms.
  • Keep at least one copy offsite, and consider one that is offline or cannot be changed, which helps against ransomware.

Test, do not assume

  • Restore sample files and at least one full system on a schedule, and record the result.
  • Check that backup jobs are monitored so failures are noticed quickly.

Common gaps

  • Cloud email and file services are not automatically a backup of your data.
  • Laptops and remote users are often outside the backup.
  • Backup accounts that share credentials with everyday admin accounts.
  • No written recovery runbook, so recovery depends on one person’s memory.

Protect and govern backups

  • Encrypt backups and restrict who can delete them.
  • Agree retention periods and who owns each decision.

Questions to ask before you decide

  • What is the recovery point and recovery time for each key system?
  • When was the last full restore test, and who signed it off?
  • Where is the offsite or offline copy, and who can delete it?
  • Is there a written recovery procedure someone else can follow?
